OralBoardCoach.com operates oralboardcoach.com, an independent oral board interview interview-practice tool, and is the data controller for the personal data described here. We are registered at OralBoardCoach.com, 30 N Gould St Ste R, Sheridan, WY 82801, United States. Contact: [email protected].
2. What we collect
- Account data: your email address, an optional first name, and a hashed password (or the account identifier Google returns if you sign in with Google).
- Practice-board transcripts: the answers you type, and anything you dictate, during a practice oral board, plus the panel questions, score reports and saved answers generated for you.
- Practice settings: the role you practise for, an optional department name you type, and any accommodation you choose (for example, turning the timer off).
- Purchase records: which plan you bought and when. We never see or store card numbers.
- Usage data: first-party page and feature events, your device type and chosen settings.
3. How your answers are processed by AI
To generate the panel's questions, neutral follow-ups and your score report, the answers you type (and anything you dictate) are sent to a large-language-model provider through our hosting platform's AI gateway. We do not use your answers to train models. Transcripts are stored in your account so you can review them, and are deleted when you delete your account or when you ask us at [email protected].
4. Sensitive disclosures are not stored in reports
The practice panel never asks about health, disability, medications, family status, religion, age, national origin, sexual orientation, politics, or your actual criminal or drug history. If you volunteer something like that, the answer is replaced in your transcript by a neutral marker: it is not quoted, not scored and not saved to your score report or answer bank. If an answer suggests you may be in crisis, the board pauses and shows the 988 Suicide & Crisis Lifeline; that answer is not stored or scored.
5. Processors we use
- Hosting, database and AI gateway: our hosting platform, which stores your account and transcripts and relays your answers to the language-model provider.
- Payments: Stripe, through our billing service. Card details go directly to Stripe; we never see card numbers.
- Email: Brevo, which sends account and practice emails on our behalf.
6. Analytics and cookies
Our analytics are first-party: events are recorded by us, not by an advertising network. In addition to the sign-in session, we set a first-party visitor-id cookie (oralboardcoach_vid) for one year. We set no third-party cookies.
7. No sale of data
We do not sell or rent your personal data, and we do not share it for cross-context behavioural advertising.
8. Where your data is stored
Your data is stored in the United States.
9. Retention and deletion
We keep your account and transcripts while your account exists. Choose “Delete my account” on your Profile page, or email [email protected], and we delete your account data and transcripts. Purchase records required for tax and accounting are kept for the period the law requires.
10. Your rights
If you are in the EU or UK, you have the right to access, correct, delete, restrict or port your data, and to object to processing; you may also complain to your local data-protection authority. If you are a California resident, you have the right to know, delete and correct your personal information and not to be discriminated against for exercising these rights. 11. Children
OralBoardCoach is not intended for anyone under 16.
12. Changes
We will email registered users before any material change takes effect.
